RIVF 2025 \u2013 Session Chair Guidelines<\/strong><\/h2>\n\n\n\n

Thank you for serving as a Session Chair<\/strong> at RIVF 2025.
Your support is essential to ensuring the quality and compliance of the conference program.<\/p>\n\n\n\n

Please follow the instructions below carefully.<\/p>\n\n\n\n

Documents Provided<\/strong><\/h3>\n\n\n\n

At the beginning of your session, you will receive:<\/p>\n\n\n\n

    \n
  • Session Sheet (SS)<\/strong><\/li>\n\n\n\n
  • Session Report (SR)<\/strong><\/li>\n<\/ul>\n\n\n\n

    These documents are required for post-conference reporting to IEEE.<\/p>\n\n\n\n

    \n\n\n\n

    During the Session<\/strong><\/h3>\n\n\n\n
      \n
    1. Session Sheet (SS)<\/strong>\n
        \n
      • Use the Session Sheet<\/strong> to:\n
          \n
        • Record comments on each presentation (e.g., presentation quality, attendance, issues).<\/li>\n\n\n\n
        • Note any special circumstances (no-show, presenter change, technical problems).<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n\n\n\n
        • Session Report (SR)<\/strong>\n
            \n
          • For each accepted paper<\/strong> in the session:\n
              \n
            • Ask the presenting author<\/strong> to sign<\/strong> the Session Report.<\/li>\n\n\n\n
            • The signature confirms that the paper was presented as scheduled<\/strong>.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n\n\n\n
            • Time Management<\/strong>\n
                \n
              • Ensure presentations start and end on time<\/strong>.<\/li>\n\n\n\n
              • Enforce allocated presentation and Q&A durations.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n\n\n\n
                \n\n\n\n

                After the Session<\/strong><\/h3>\n\n\n\n

                1. Return Documents<\/strong>\n
                    \n
                  • After the session ends, please:\n
                      \n
                    • Verify that all required signatures<\/strong> are completed on the Session Report.<\/li>\n\n\n\n
                    • Ensure the Session Sheet is fully filled out<\/strong>.<\/li>\n<\/ul>\n<\/li>\n\n\n\n
                    • Return both SS and SR<\/strong> to the Registration Desk<\/strong> immediately.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n\n\n\n

                      • These documents are mandatory<\/strong> for IEEE compliance.<\/li>\n\n\n\n
                      • Incomplete or missing documents may affect paper inclusion in IEEE Xplore<\/strong>.<\/li>\n\n\n\n
