Camera-Ready Submission Guidelines

Camera-Ready Submission Deadline: November 15, 2025

1. General Requirements

All camera-ready submissions must be:

  • Submitted electronically in PDF format via EDAS.
  • Revised according to all critical reviewers’ feedback.
  • Limited to a maximum of 6 pages. Additional pages beyond the 6-page limit will incur an extra page charge and are subject to approval by the organizing committee.
  • Proofread thoroughly — no further revision will be possible after submission.

2. Manuscript Formatting

  • All manuscripts MUST use the standard IEEE conference templates:

  • The final PDF MUST be validated using IEEE PDF eXpress to ensure compliance with IEEE Xplore requirements.
  • The IEEE Copyright Form must be completed and submitted through EDAS.

3. Publication and Presentation Policy

For inclusion in the RIVF 2025 Conference Proceedings and IEEE Xplore®, the following conditions must be met:

  1. At least one author of each accepted paper must register for the conference.
  2. The registered author must present the paper at the conference.

4. Submission Steps Overview

After completing all preparation steps:

  1. Format your paper using the IEEE template.
  2. Validate your PDF file via IEEE PDF eXpress.
  3. Submit the IEEE Copyright Form in EDAS.
  4. Ensure at least one author has registered for the conference.
  5. Upload your final, validated PDF to EDAS: In your EDAS paper page, click “Final Manuscript” and follow the upload instructions.

5. IEEE PDF eXpress Validation Instructions

Access IEEE PDF eXpress:

First-time Users:

  1. Click “Create account”.
  2. Enter the following details:
    • Conference ID: 68649X
    • Your email address
    • A password of your choice
  3. Follow the on-screen instructions to complete account setup.
  4. A confirmation message and email will verify your registration.

Returning Users:

  • Conference ID: 68649X
  • Log in using your previous email and password.
  • Update your contact information if necessary.

Inside PDF eXpress, choose one of the two options:

Option 1 (Recommended): Generate an IEEE Xplore-Compliant PDF

  1. Select “Create New Title.”
  2. Enter your paper title.
  3. Upload your source file(s) (e.g., Word, LaTeX).
  4. Download the generated PDF once conversion is complete — this is your final manuscript for EDAS upload.

Option 2: Validate an Existing PDF

  1. Select “Create New Title.”
  2. Enter your paper title.
  3. Upload your pre-generated PDF.
  4. Ensure: All fonts are embedded. There are no bookmarks or hyperlinks (URLs).
  5. Once you see “PDF Passed PDF Check; PDF is IEEE Xplore compatible,” download the certified PDF — this is your final manuscript for EDAS upload.

⚠️ Only the IEEE PDF eXpress–validated version can be uploaded to EDAS.

6. IEEE Copyright Form Submission

  • Log in to your EDAS account.
  • Locate your RIVF 2025 accepted paper.
  • Click on the copyright icon.
  • Select “IEEE Copyright Submission.”
  • You will be redirected to the IEEE eCF website to complete the process online.

This step is mandatory for inclusion in the technical program and for publication in IEEE Xplore®.
